Hello GRSciColl friends, This is just a quick reminder that our first GRSciColl online training event will take place at the end of April. If you are interested in editing many records or organize training events in your community, you are welcome to join us! We will have a kick-off meeting on the 23rd of April (for 1h) and a wrap-up call on the 29th of April (for 1h30). Between the two calls, the participants will go through the training material on their own (which I estimate it would take between 2 and 4 hours in total). GRSciColl online training event - April 2025

Hello GRSciColl friends, We are organizing a GRSciColl online training event from the 23rd to 29th of April 2025. We are developing a training curriculum as part of our road map 2025<https://scientific-collections.gbif.org/road-map#2-create-and-run-a-grscico…>. The material created for this course will be public and reusable for online and onsite training events. The event in April is for: * People who are already or would like to manage a large number of collection entries in GRSciColl (for example: national editors and GBIF Nodes) * People who are interested in reusing the training material to organize local or themed events to facilitate updating GRSciColl We will have a kick-off meeting on the 23rd of April (for 1h) where we will be presenting the online training material and exercises. The participants will then have six days to complete the three training modules on their own before meeting again for the wrap-up call on the 29th of April (for 1h30). During the wrap-up call, we will discuss the exercises and participants will be able to ask questions about the training material and GRSciColl. Road map 2025 and thank you

Hello GRSciColl Friends, Together we have done a lot of work in 2024! Thanks to the institutional editors, the national editors, the updates coming from Index Herbariorum, and everyone making suggestions, more than 1600 entries were added this year. Thank you so much! And thanks to our community of translators, the GRSciColl website became available in Spanish this year! Thank you also for your feedback and contribution to more complex topics, I can see that the question of DOI for collection is still actively being discussed<https://discourse.gbif.org/t/preferred-identifiers-for-grscicoll-entries-sh…>. There are 60 national editors responsible for 121 countries. Most of them are already registered as GBIF volunteers which allows us to make their role more visible and award them badges for their work. For those of you who aren’t registered as GBIF volunteers yet, I will reach out to you in the next year (you are also very welcome to contact me). Next GRSciColl community call - Road map 2025

Tutorial on uploading collection descriptors and other news

Hello GRSciColl Friends, Thank you to all of you who have joined our community call in August and/or the GRSciColl session at the SPNHC/TDWG conference last month. It was great to see you all! We now have a tutorial on the GBIF Data Blog explaining how to upload collection descriptors in GRSciColl. In other news: * If you missed it, the recording of the August community call is available here: https://vimeo.com/1001951935 * The synchronization of GRSciColl with Index Herbariorum now works with the suggestion system. This means that editors will now get notified and asked to review new entries coming from Index Herbariorum. * We are working on making GRSciColl country mediators (editors) visible and recognized for their work (like the GBIF open data ambassadors<https://www.gbif.org/article/1ye7qAa9Z2HVSn85bfSmLP/who-are-the-gbif-biodiv…>). Hello GRSciColl Friends, Good news! GRSciColl can now support the upload of structured collection descriptors. This is a very exciting development, and we will be working on refining this new feature. Hello GRSciColl friends, Our developers have implemented some changes in GRSciColl. The details were listed in my previous email and accessible on this forum post<https://discourse.gbif.org/t/watch-our-grscicoll-community-call-recording-g…>. Notable changes are that: * You can now access GRSciColl data as JSON following the Latimer Core standard. You can do so for any entry, from the editing interface (click on the “More” button in the upper right corner and “Download as Latimer Core). Here is an example: https://api.gbif.org/v1/grscicoll/collection/latimerCore/2935ebce-1f44-4360… * You can now add featured images to your GRSciColl pages. The idea is to make those pages more visual and customizable. For example, you could have a picture of your institution, or of a drawer, or of a specimen or a staff group photo, etc. See these two examples: * https://scientific-collections.gbif.org/institution/40452d31-2f91-460a-a624… * https://scientific-collections.gbif.org/collection/948e3641-75ca-4550-91a1-… Note that most entries won’t have any image. What do you think the idea of pulling images from homepage when available? Here<https://gbif.box.com/s/jyoaw931ihceg9fpoaosappoybgx3x0q> are three examples where we tried using the homepage opengraph:image metatag. These changes will affect scripts and website that use the GRSciColl part of the API, you will need to adapt them. Here are the changes: * The following fields will be discarded: indexHerbariorum, institution geographicDescription, institution taxonomicDescription, citesPermitNumber (https://github.com/gbif/registry/issues/545) * The following fields are lists: types, institutionalGovernances, catalogueUrls, apiUrls (https://github.com/gbif/registry/issues/550) * The following fields will be using vocabularies<https://techdocs.gbif.org/en/openapi/v1/vocabulary> instead of enumerations<https://techdocs.gbif.org/en/openapi/#enumerations>: types, institutionalGovernances, discipline, contentType, preservationType, accessionStatus (https://github.com/gbif/registry/issues/549) * The collection “geography” field is renamed “geographicCoverage” (https://github.com/gbif/registry/issues/551) * New fields are added: collection temporalCovergage, featuredImageUrl, featuredImageLicense (https://github.com/gbif/registry/issues/552) These changes are part of the implementation of the GRSciColl road map 2023/2024<https://scientific-collections.gbif.org/road-map>. Review of the Latimer Core (LtC) collection descriptions data standard

Hello GRSciColl Friends, For those who aren't already aware, the public review phase of the Latimer Core (LtC) collection descriptions data standard has now opened! LtC is a new TDWG<https://www.tdwg.org/> data standard that's intended to be complimentary to specimen-level standards like Darwin Core, providing a common way to structure and share higher-level information about groups of collection objects, from whole-institution collections through thematic and historic collections and even down to the contents of single drawer. There's considerable overlap with the concepts and data in the GRSciColl schema and plans, and so GRSciColl is exploring the use of LtC as part of the roadmap<https://scientific-collections.gbif.org/road-map>. The TDWG LtC group is very keen to get input from the GRSciColl community, and encourage anyone who is interested to learn more about the new standard, join the discussions and provide feedback! The new GRSciColl website is public and other news

Hello GRSciColl friends, I am writing to let you know that the Global Registry of Scientific Collections has a new website: https://scientific-collections.gbif.org Based on the GBIF Hosted portals<https://www.gbif.org/composition/3kQFinjwHbCGZeLb5OhwN2/gbif-hosted-portals>, this new web interface allows accessing the GRSciColl content as well linked GBIF occurrences. It includes some new filters (which were previously only available via the API) as well as new dashboards. The website can be multilingual, we are working with some of you (thank you!) on a Spanish version. Let me know if you are interested in helping or if you would like to see GRSciColl available in more languages. GRSciColl - We changed the way we link occurrences to GRSciColl

Hello GRSciColl friends, Thank you for subscribing to our mailing list. I wanted to let you know that we have changed the way we link occurrences published on GBIF to GRSciColl entries. If you are unfamiliar with the idea, GBIF links occurrences published on GBIF with GRSciColl whenever possible. You can read more about it here<https://data-blog.gbif.org/post/grscicoll-flags/>. We used to attempt linking any occurrence on GBIF where a collection or institution code or identifier was provided. The rationale was that an institution should also be able to showcase their observation records. We also wouldn’t link occurrences to GRSciColl if the institution code provided didn’t match the owner code provided. This generated a lot of confusion and mismatches (many observations had codes that happen to match to GRSciColl entries even though they were unrelated to those). So, we decided to only match the occurrences that are published with one of the following bases of record: Preserved Specimen, Fossil Specimen, Living Specimen, Material Sample. In addition to that, we now link records to GRSciColl entries even if the owner institution code differs from the institution code. This allows many records published by Tropicos<https://www.gbif.org/dataset/e053ff53-c156-4e2e-b9b5-4462e9625424> to be linked to GRSciColl entries.
