Note that the mailing lists only accepts the messages sent by the members of the mailing list, mails from outside will be rejected = use the e-mail account through which you were contacted by GBIF.

Subject: Welcome to GBIF Task Group

Dear experts,

Welcome to the Task Group on Data Fitness for Use in Research on Invasive Alien Species.

Many thanks for accepting the invitations.

Here come the first bits of information and questions to you, apologies for the hot start and the long e-mail.

WHO WE ARE, UPDATE CONTACT INFO

Here you can see who is in the group, please check the exsiting and fill the missing info, especially your Skype names and mobile phone numbers, needed for our teleconference and in person meetings: https://docs.google.com/spreadsheets/d/15rebOHbb0IwjyVoKSP57JPSOikjoskXWUXVYEvnTVKA/edit#gid=0. This table is only used internally for the group work.  You could also send a Skype request from your account to GBIF.S.

FIRST TELECONFERENCE

We plan to have the first Skype call in mid-April, and it would be important for all to attend as this will be the explanation of what we are after this year. Please fill the doodle poll to vote for the dates (11, 14 or 15 April) and the time. It is a real challenge is to find time slot that would work for all, which is a fairly hopeless task :

http://www.timeanddate.com/worldclock/meetingtime.html?year=2016&month=3&day=31&p1=69&p2=152&p3=48&p4=263&p5=22&p6=166&p7=56

We can perhaps rotate the time slots, here are the three options that might work somehow. Please suggest the alternatives if you see them, personally I can Skype any time.

Time 1: 19:00-21:00 Auckland = 17:00-19:00 Melbourne = 09:00-11:00 Moscow = 08:00-10:00 Brussels, Cape Town, Copenhagen = 02:00-04:00 Washington (sorry, Gregory)

Time 2: 23:00-01:00 Auckland = 21:00-23:00 Melbourne = 13:00-15:00 Moscow = 12:00-14:00 Brussels, Cape Town, Copenhagen = 06:00-08:00 Washington (sorry, Shyama, Melodie and Gregory)

Time 3: 09:00-11:00 Auckland = 07:00-09:00 Melbourne = 23:00-01:00 Moscow = 22:00-00:00 Brussels, Cape Town, Copenhagen = 16:00-18:00 Washington (sorry, Melodie and Varos)

This is the link to the Doodle poll for you to vote for the Skype time by 6 April, Tuesday. I am not sure if it will automatically adjust to you time zone, please change the zone if needed using the link above the voting table. We will need about 2 hours, I think: http://doodle.com/poll/mw9vwbtk6vrybfsy

HOW DO WE WORK

Will be discussed and agreed on the first call, but please go through Terms of Reference again before we talk on Skype, see attached. The key moment here that we need to capture both your personal expert opinions and experiences, but also the views of IAS research community. In 2015, these community opinions were collected through surveys bringing you data for the report, and also through public consulation after the report draft is published online. The plan is to have 2h Skype teleconferences at least once a month, and to meet in person twice, each time for three full days. We might use some collective editing space such as Google Drive and discussion space such as Slack. The official documents are securely archived at GBIF.

EXPECTED PRODUCT

As seen from the attached you will be collecting recommendations and best practices for GBIF and GBIF users, with the special focus on aspects important for your research community, but also on general improvements. All that is summarised in the report.  It would be great if you familiarize yourself with the reports delivered by the 2015 task groups, links below. As you will discover, the reports are different, and we will need to discuss and agree what is expected, and what should be avoided in 2016.

FIRST IN-PERSON MEETING

As your group Chair, Melodie McGeoch will be in N Europe for the GEO BON conference in early July, we have limited flexibility for the dates for the first in-person meeting. We plan to meet on 11-13 July MON-WED, most likely in Copenhagen, other N European options are being explored. Hope the dates suit everyone. It would make sense to arrive the day before, 10 July Sunday and to leave on 14 July, or by the the late evening flight on the 13th. Please let us know if you will be flying from other places than your home base cities, indicated in the Google table: https://docs.google.com/spreadsheets/d/15rebOHbb0IwjyVoKSP57JPSOikjoskXWUXVYEvnTVKA/edit#gid=0. I remind you that your travel, accommodation and daily allowance costs are covered from the task group budget. You can extend your stay at own cost, the tickets for the extended dates will be refunded by GBIF for the sum corresponding to the original travel dates, more details here: http://links.gbif.org/travel_guidelines.pdf. The second in-person meeting is planned in the autumn in S hemisphere, provisionally in Melbourne.

I am sure there are many questions, please feel free to ask – I am your contact in GBIF, looking forward to have a good and productive IAS year together.
